Email Templates & Outreach

The Email Templates system enables agencies to send professional outreach emails directly from PixlSEO. This is particularly powerful when combined with Prospect Reports.

Found under Agency → Email Templates.

Before sending emails, verify your outreach domain:

1. Enter your outreach domain (e.g., youragency.com) 2. PixlSEO generates DNS records you need to add 3. Add the required DNS records (SPF, DKIM, DMARC) to your domain 4. Click "Verify" to confirm DNS propagation

DNS verification ensures your emails are authenticated and have the best delivery rates. Records typically propagate within minutes but can take up to 48 hours.

Configure your email sender identity:

• From Name — The name recipients see (e.g., "John at ABC Agency") • From Email — The verified email address used for sending • Reply-To — Where responses are directed

All outreach emails are sent through authenticated channels to maximize deliverability and avoid spam filters.

Build reusable email templates for common outreach scenarios:

• Prospect Introduction — First contact with new prospects • Audit Report Follow-up — Emails that include prospect report links • Service Proposals — Detailed service offering emails • Custom Templates — Create templates for any outreach purpose

Templates support: • Rich text formatting • Dynamic variables (prospect name, company, report link) • Agency branding (logo, colors from whitelabel settings) • Preview before sending

Send emails directly from the platform:

• Select a template and recipient • Customize the content for the specific prospect • Attach prospect reports or audit results • Preview the final email with all branding applied • Send immediately or schedule for later

All sent emails are logged for tracking and follow-up.
